Did you know the Align catalog has over 20,000 tools for you to track? By doing a simple search you can save yourself some time from having to manually create a tool.
From the navigation bar on the left side, expand Inventory and click on Catalog
In the top left corner, click the toggle switch over to All Products (this is the Align Catalog)
Type the model, description or manufacturer in the search line and look for your tool in the results. (If your tool is NOT in the catalog, please see article: Manually Creating Unique Tools).
Once you locate your tool, click on the grey Start Tracking button on the bottom of the product card. This will open up a window where you’ll need to fill out the following information:
ITEM TYPE: Choose whether your item is a
Tool
Equipment
Materials & Consumable (review MATERIALS & CONSUMABLES steps below if you selected this item type)
TRACKING METHOD:
Unique ID (review UNIQUE ID steps below if you selected this tracking method)
Quantity Item (review QUANITY steps below if you selected this tracking method)
If you chose Material/Consumable for your Item Type, Quantity Item will already be chosen for you.
MANUFACTURER: This will auto-populate
CATEGORY: Choose a category for your item or add one if necessary
MODEL: This will auto-populate
DESCRIPTION: Check the box that says Use Manufacturer Description
If you are adding an item that will have a UNIQUE ID:
Click the Add Item button in the bottom right side of the window. This opens up a more detailed section of the product you just created. From here you can:
Click Upload New Image if you want to change the image of the item (JPEG, PNG or GIF)
Add cost information by clicking on the Cost panel at the bottom to expand it (be sure to save any changes you make in this section)
Add items to start tracking by clicking the blue hyperlink + Add Item at the top. At the bottom of this window you can see that Align auto assigns numbers for Item Number and Barcode but if you want to choose your own, simply click on the pencil icon to enable the edit feature for the field. If you need to add more than one item to track click Add and Next, if you are only tracking one item just click Add.
To see or edit the items you just added expand the Item List panel at the bottom.
Edit any of the model information entered on the right side by hovering on the line you want to edit until the pencil icon appears, click the pencil to edit.
If you are adding a QUANTITY item or MATERIALS & CONSUMABLES:
Once you selected either Quantity item or Material/Consumable the Item Number and Barcode fields were automatically added below the other fields. Align auto assigns Item Number and Barcode numbers but if you want to choose your own, simply click on the pencil icon to enable the edit feature for the field.
Click the Add Item button in the bottom right side of the window. This opens up a more detailed section of the product you just created. From here you can:
Click Upload New Image to change the image of the item (JPEG, PNG or GIF) if you want to.
Add cost information by clicking on the Cost panel at the bottom to expand it (be sure to save any changes you make in this section)
Add stock to your quantity item by clicking on the Stock List panel at the bottom to expand. Then click on the number in the in stock column (should be a ‘0’ for a newly added item) and adjust the quantity to match your inventory.
Edit any of the model information entered on the right side by hovering on the line you want to edit until the pencil icon appears, click the pencil to edit.
