Tasks

In a nutshell, Tasks are a “To Do” list in EAM or can be looked at as a building block of daily workflows. Tasks are a task management system that allows you to keep track of your action items. Through managing tasks you can get visibility into the status of open items/actions and keep a clear list of items needed to be done. You can create tasks for yourself and/or for others.

Permissions

Set user role based permissions for Tasks by going to the navigation panel

  1. Select Administration

  2. Select Configure User Roles (Select role to edit permissions)

Permissions are available for View, Add/Edit, Delete.

Tasks permissions are set in the Platform tab under the Platform Settings sub group.

  1. Tasks: Permissions for accessing tasks assigned to you or with add/edit the ability to create and assign tasks.

    1. Access/View

    4. Perform

  2. All Tasks: Permissions to view and complete tasks assigned to others.

    1. Access/View

    2. Add/Edit

    3. Delete

    4. Perform

List Maintenance

There are 3 fields in Tasks that are set at a company level to help keep vocabulary consistent across Tasks. These fields are Task Categories, Task Priorities, and Task Statuses.

To set up these fields user the navigation panel

  1. Select Administration

  2. Select Company Lists

  3. Select Tasks

Create Task Categories

Categories are the “buckets” that tasks will fall into. It is recommended to make categories for general groups of actions that your users may need to complete. These should be general enough to catch various tasks, but specific enough to provide clear reporting on what time is being spent on. For example, in your organization it may make sense to make a category Safety to capture anything safety related or you may need something more specific such as Tool Box Talks.

  1. Select Tasks Categories

  2. Click Create New

  3. Enter the category you would like to add

  4. Click Save

Create Task Priorities

Priorities are the level of urgency that is associated with a given task. Best practice would be to have 3-5 priorities depending on your organization.

  1. Select Tasks Priorities

  2. Click Create New

  3. Enter the Priority you would like to add

  4. Click Save

Create Task Statuses

Status will be an indication of how progress is going with a task once it has been assigned. Think about the processes your organization uses and assign statues that align with those processes. A good place to start is Not Started, In Progress, and Blocked. Your organization may find it useful to have more specific statuses.

1. Select Tasks Statuses

2. Click Create New

3. Enter the Status you would like to add

4. Click Save


Creating Tasks

Add a Task

Navigate to the Task Management Module in the left hand navigation panel.

1. Select Task Browser

2 Click Add Task

Enter all the details of the task in the modal.

  1. Subject (Required Field): Free form text

  2. Task Category: Drop down list

  3. Location:

    1. Select a pre populated Location (drop down list from location list)

    2. Or enter a location in Other Location (free form text)

  4. Assigned To (Required Field): Drop down list (from employee list)

  5. Due By: Date and Time selection

  6. Priority: Drop down list

  7. Status: Drop down list

  8. Notes: Free form text

Add or Cancel Tasks by using the buttons on the task window.

  • Cancel: Close out the window without saving the task you are creating

  • Add: Add the task to the Task Browser

  • Add and Next: Add the task to the Task Browser and open a new blank task

Recurring Tasks

Set a task to automatically generate follow-on tasks at specific intervals defined by you by creating a task and selecting Recurrence. Recurrence can be set like other recurring features in the platform. Tasks can be set to recur on a daily, weekly, monthly, or yearly basis.

Manage Tasks

Use the task browser to manage your tasks. Easily navigate to what you are looking for by using the Task Assignment filter on the left of the table or use the column filters.

Edit Tasks

Select a task and choose Edit Task. This will open the task and allow you to

  • Edit all fields

  • Edit Recurrence

  • Save change and complete the task

Reporting

Standard reporting is available for Tasks in Reports. Reports can be filtered by who they are assigned to and sorted by either Category, Subject, or Due By.
