Creating a New User Role

User roles allow your organization to control who can access specific features and data in the ToolWatch database.

Just like your IT or accounting systems, controlling access to your data in ToolWatch is essential. To maintain security, you can assign user roles to limit who can view or modify information.

User roles are completely customizable to fit your company needs. The only preset role in the system is Administrator, which provides the highest level of access and should be reserved for select users.

You can view your list of available roles, including the number of assigned users and enabled permissions for each role.


Two common user roles are

  • Field User

  • Warehouse User.

See User Role Permissions in the Mobile App for recommended settings for each, which can provide a useful starting point for configuration.


Creating a New User Role

  1. Expand the Administration section.

  2. Select Configure User Roles.

  3. Click Create New in the top right corner to open a pop-up window.

  4. Enter a name for the new role.

  5. Enter a Role Description if desired.

    1. Note: Clone Existing Role enables you to quickly create a new user role by duplicating an existing one, streamlining the role creation process..

  6. Select a category header to view category permissions.

    1. Note: Categories are defaulted to the Asset tab which is specific to ToolWatch specific operations. The Safety tab are Safety specific permissions. The Platform tab are permissions that span all sections.

  7. Toggle on the switch of the Category you want to edit.

    • By default, categories are given ‘Access/View’ permissions.

  8. Hover over the information (i) icon next to each permission for a description.

  9. Select the appropriate permission levels by checking or unchecking permissions as needed (i.e. Access/View, Add/Edit, Delete, Perform)

  10. Click Save to finalize the new user role.

Best Practices

After assigning permissions, test each role to ensure it provides the correct level of access. Additionally, it is recommended to assign only one user role per employee to avoid conflicts that may arise from overlapping or conflicting permissions.
