Managing Employee Profiles in ToolWatch

You can manage all employee records in ToolWatch from the Employees screen. This includes both Standard Employees (no login access) and Users (with login access). Items can be assigned and tracked for both employee types.


Types of Employees

  • Standard Employee:

    • Can be assigned items

    • Does not have login access

  • User:

    • Can be assigned items

    • Has login access and specific permissions in ToolWatch

  • You can convert a Standard Employee to a User at any time.


Accessing Employee Records

  1. From the Navigation Panel, expand Administration.

  2. Expand Company Lists.

  3. Click Employees.

  4. On the Employees screen, click Edit next to the employee you want to manage.


Steps to Edit a Standard Employee (Does not have login access)

  1. In the Edit Employee window, update any fields as needed:

    • First Name / Last Name

    • Assigned Stock Location

    • Status options (Inactive, Do Not Transfer, Decommission Reminder)

  2. To give this employee access to ToolWatch:

    • Enter a unique email address in the Email field.

    • Click Create User Account.

  3. Click Yes to save changes.

  4. In the User Account Administration window, set the following:

    • Under User Access, check one or more of:

      1. Mobile Warehouse

      2. Mobile Field

      3. Cloud

  5. Under Available Roles, check the appropriate user role(s).

  6. Click Save.


Steps to Edit a User Profile (Has login access)

Use the steps below to update a ToolWatch User’s access, roles, change email address, or password.

  1. From the Navigation Panel, expand Administration.

  2. Expand Company Lists and select Employees.

  3. Click Edit next to the employee’s name.

  4. In the Edit Employee window, click Manage User Account.

  5. Click Deactivate User Account to remove the user’s access to ToolWatch. Their profile remains in the system for recordkeeping.

  6. Check or uncheck User Access for:

    1. Mobile Warehouse

    2. Mobile Field

    3. Cloud

  7. Click Change Email Address and enter a new unique email to update the employee’s login email,

    1. Click OK to apply the change.

  8. Click Change Password if the Administrator needs to change the user’s new login password.

  9. Add or remove Available Roles roles depending on the level of access needed.

  10. Click Save to apply your changes.
