Set Up and Control Cost Code Access with Code Groups

Use Code Groups in ToolWatch to control which Cost Codes are available during transactions like Pick Tickets and Transfers. You can assign Code Groups when creating or editing a Cost Code and use Global Cost Code settings to manage visibility across Cost Centers.


Create or Edit a Cost Code with a Cost Center and Code Group

  1. Expand the Administration section in the left-hand menu.

  2. Expand the Settings section.

  3. Select Cost Codes.

  4. Click Create New, or select Edit next to an existing Cost Code.

  5. Enter the Description of the Cost Code.

  6. Select a Cost Center.

    1. This ties the Cost Code directly to that Cost Center.

  7. Enter a Code Group (number or letter).

    1. Use Code Groups to control which Cost Codes display during transactions.

  8. Click Save.


How Code Groups and Global Cost Codes Work

Code Groups help control which Cost Codes appear during transactions like Pick Tickets and Transfers. You can define and use as many Code Groups as needed to support your business or create a composite range.

Global Cost Codes work with Code Groups to filter visibility during transactions.

How It Works:

  • ✅ If a Cost Center has a Code Group, and Enable Global Cost Codes is checked:
    ➤ Only the Cost Codes in that group will appear on Pick Tickets and Transfers.

  • ✅ If a Cost Center does NOT have a Code Group, and Enable Global Cost Codes is checked:
    All Cost Codes will appear on Pick Tickets and Transfers.

  • ✅ If a Cost Center is mapped via integration with imported Cost Code(s):
    ➤ Those imported Cost Codes will appear on Pick Tickets and Transfers.

You can define and use as many Code Groups as necessary to organize or limit which Cost Codes are available during billing-related actions.
