When to Use Transfers vs Returns in ToolWatch

Learn the difference between Transfers and Returns in ToolWatch and when to use each to keep inventory, responsibility, and billing accurate.

In ToolWatch, both Transfers and Returns move tools and equipment between locations, but they serve different operational purposes and have different effects on inventory responsibility and billing.

Understanding when to use each option helps ensure accurate job costing, warehouse workflows, and field visibility.

What Is a Transfer?

A Transfer immediately moves tools or equipment from one location to another within ToolWatch. When you submit a Transfer, the item’s assignment updates instantly in the system.

Transferring drills from Warehouse A to Jobsite B immediately makes Jobsite B responsible for those drills.


What Is a Return?

A Return is a request to send tools or equipment back to a warehouse or another location. Unlike Transfers, Returns do not immediately move inventory—they notify the warehouse that items need to be picked up or received.

  • They keep tools assigned to the job until the warehouse receives them.

A supervisor at Jobsite B creates a Return to send ladders back to Warehouse A. The ladders still belong to Jobsite B until the warehouse receives them.

Use a Return when:

  • Items should remain assigned to the job until the warehouse confirms receipt.

  • Field teams need a simple way to notify the warehouse without transferring inventory themselves.

  • The request is initiated from the jobsite via the ToolWatch Mobile App.

Use a Transfer when:

  • You need to immediately reassign tools to another jobsite, warehouse, or division.

  • Billing or job cost should move to a new location right away.

  • A warehouse or inventory manager is coordinating movement between internal locations.

  • The move is administrative, planned, or part of normal warehouse operations.


FAQs About Transfers and Returns

Can field users perform Transfers in the ToolWatch Mobile App?

Yes—Transfers are available on the Field side of the ToolWatch Mobile App, but access depends on your permissions.

Your ToolWatch Administrator may restrict who can perform Transfers because Transfers immediately reassign responsibility, affect billing or job costing, and update inventory records in real time.

If you do not see the Transfer option in the Mobile App:

  • You may not have Transfer permissions enabled.

  • Contact your ToolWatch Administrator to confirm your access settings.

Why does a Return not move the item immediately?

  • Returns are designed as communication requests. The inventory does not move until the warehouse confirms receipt, ensuring intentional and accurate tracking.

What happens if the warehouse never processes a Return?

  • The items remain assigned to the job or location that created the Return. The return request will still appear in ToolWatch Cloud until warehouse action is taken.

Can a submitted Return be edited?

  • No. Once submitted, a Return is read-only. Draft Returns can be edited or deleted, but submitted ones cannot.

Can Transfers and Returns appear together in reporting?

  • Yes, but they represent different transaction types. Transfers show immediate movement; Returns show warehouse-processed receiving events.
