You can modify an existing Purchase Order (PO) in ToolWatch to update material quantities, adjust pricing, or assign cost codes. Changes can only be applied if the purchase order meets specific status conditions.
Status Rules: The purchase order must be Open and have a Draft status to accept modifications. Tools can only be added to a purchase order while it is in Draft status; you cannot add tools to a purchase order after it has been marked as ready to purchase.
To Edit a Purchase Order
From the left menu, click Purchasing.
Click Purchase Orders.
Use the workspace filter fields, such as Order Date, Vendor, or Status, to locate the purchase order you want to modify.
Check the selection box next to the purchase order you want to edit.
Verify that your target purchase order is currently in Open and Draft status, keeping in mind that new tools and item adjustments cannot be added once the order is advanced past Draft status.
Click the Actions dropdown menu and select View.
In the opened purchase order window, click directly on the individual line item row that requires modifications.
Update the appropriate data fields within the selected item row, including Item No., Item Description, SKU, Qty, Cost, Unit of Measure, or Cost Center or Cost Code.
Click Save at the top right of the PO Detail Summary panel.
Click Yes or No on the Change status prompt window asking "Is this order ready for purchase?" depending on your operational workflow needs.
Related Purchasing Actions
To initiate a net-new tracking document, click Create Purchase Order.
To log delivered inventory items against an outstanding order agreement, click Receive Purchase Order.
