Enabling Block Negative Inventory

Prevent transfer tickets and pick tickets from creating negative quantities by enabling the Do Not Allow Negative Inventory company setting.

Overview

The Do not allow negative inventory company setting prevents inventory items from dropping below a zero quantity when processing transfer tickets or pick tickets. When enabled, ToolWatch blocks any transaction that attempts to transfer or pick more items than are physically available in stock at a location.

  • Target Audience: ToolWatch Administrators and Inventory Managers.

  • Platform Availability: Configurable on ToolWatch Web under Company Settings. Applies to transactions initiated on both ToolWatch Web and the ToolWatch Mobile App.

  • Scope & Existing Inventory: This setting applies strictly going forward. It prevents new transactions from creating negative inventory balances, but it does not retroactively change or adjust items that currently have negative quantities.


User Experience by Permission & Platform

When a user attempts to transfer or pick more items than are available in stock, the system response depends on the user's permissions and platform:

Users with Inventory Adjustment Permissions (Web Only):

  • If an authorized user attempts a transaction on ToolWatch Web that exceeds stock, the system displays an Adjust Qty prompt asking: "This item does not have enough inventory to pick the selected qty. Please adjust your selection or inventory. Would you like to make an inventory adjustment?" Selecting Yes allows the user to correct the inventory count immediately and proceed with the transaction.

Standard Users (Web & Mobile App):

  • If a user without adjustment permissions attempts to transfer more items than are in stock on ToolWatch Web or the ToolWatch Mobile App, the transaction is completely blocked. The system displays a Qty Exception warning popup stating: "Qty picked exceeds qty in stock. Change qty selection." The user must adjust their requested quantity to match available stock before proceeding.


Step-by-Step Instructions

  1. In the main navigation menu, click Administration.

  2. Click Company Settings.

  3. Scroll down to the Organization Defaults section.

  4. Select the Do not allow negative inventory checkbox.

  5. Click Save Changes.

*Note: When processing a pick ticket or transfer ticket on ToolWatch Web that exceeds available stock, review the Adjust Qty prompt to perform an immediate count adjustment if you have inventory adjustment permissions.

**Note: If processing transactions on the ToolWatch Mobile App or as a standard user, review the Qty Exception warning and adjust the picked quantity to match available inventory.
