Intacct Setup

Set up the Intacct Sender and User accounts, Web Services, and GL accounts so ToolWatch can connect to Intacct.

Use this article to set up the Intacct accounts and access ToolWatch needs to connect to Intacct. You will need a Sender account, a User account for each Intacct entity, a subscription to Intacct Web Services, and GL account settings for the billing export.

Sender Account

You will need to supply a Sender password and user name for the Intacct API. The Sender is a company-level account used to access all Intacct entities for a customer. This account is set up by Intacct support once per customer. There is no interface inside Intacct to maintain this account.

User Account

Each Intacct entity will need its own User account to access data for that entity. The user is set up inside Intacct's Company Settings and must be granted rights to the needed data in Intacct. The supplied User account will need permissions to access Projects, Employees, Project Tasks, and Standard Tasks. The User can only access data for the entity where it is created. It can not access data in entities below or above in the Intacct entity hierarchy. Multiple settings must be used to access each Intacct entity with its own User account.

Setting up Intacct

  1. Subscribe to Intacct Web Services. To check your subscription, see Intacct Subscribe.

  2. Set up the required Web Services user in Intacct. For instructions, see the Intacct documentation on Web Services Users.

  3. Give the user permissions to access Projects, Employees, Project Tasks, and Standard Tasks. For more information on Intacct permissions, see External user permissions.

After you set up access, ToolWatch can use the supplied account to retrieve records from Intacct.

The following settings are required in ToolWatch:

Note: Intacct documentation is the only source ToolWatch has on how to set up Intacct. For further questions, contact Sage or your company's Intacct admin.

GL Accounts

GL Accounts for Intacct billing export can be set using the rate sheet GL Credit and Charge accounts. The ToolWatch Credit is used for Intacct credit accounts and the ToolWatch charge account is used for Intacct debit accounts. If no account is set in the rate sheet the export will default to the 2 accounts set in the settings for tools and materials. The setting account will be used for both credit and debit. In addition, the integration settings must specify the Journal, the Location (used as the LOCATION_ID), and the Credit and Debit account numbers (used as the DEPT_ID on the credit and debit lines, respectively) for the export to post correctly.
