The ToolWatch Intacct integration is focused on ensuring that the two systems share Jobs, Cost Codes, and Employees.
Intacct | Sync Direction | ToolWatch |
Employees | → | Employees |
Jobs | → | Cost Centers |
Jobs | → | Locations |
Job Cost Codes | → | Cost Codes with CostCenterIds |
Standard Cost Codes | → | Cost Codes |
A ToolWatch Employee will be created for every Employee in Intacct. Email will be copied in if the IncludeEmployeeEmail setting is set to true.
Intacct Employee | ToolWatch Employee | Notes |
Employee ID | Number | The Employee's Employee ID is used as the ToolWatch Number. |
First Name | First Name |
|
Last Name | Last Name |
|
First Name, Last Name | Description | The Intacct First Name and Last Name will be combined to match the ToolWatch Description format of "LastName, FirstName". |
- | Intacct Email1 is used as the ToolWatch email. | |
Status | Inactive | The ToolWatch Employee is set to Inactive when the Intacct employee STATUS is not "active". |
A ToolWatch Cost Center will be created for every active Job in Intacct. The following fields will be mapped:
Intacct Job | ToolWatch Cost Center | Notes |
Number | Number |
|
Name | Description | By default the ToolWatch Description is the Intacct Job Name. The Description Format is configurable per org; the common configuration "{number} - {description}" produces the "Number - Name" form. |
Active | Inactive | If the Intacct Job is not Active, then the ToolWatch Cost Center will be set as Inactive. |
By default, a ToolWatch Location will be created for every Job in Intacct. This is not strictly necessary in order to properly accrue Job Costs and Billing charges in ToolWatch, but it is generally convenient in ToolWatch to be able to assign the assets to the Job when you are going to begin charging the Job for the assets. The Location and Cost Center will be linked in ToolWatch so that by default all assets assigned to the Location are charged to the corresponding Intacct Job.
The following fields will be mapped:
Intacct Job | ToolWatch Location | Notes |
Number | Number |
|
Name | Description | By default the ToolWatch Description is the Intacct Job Name; the configurable Description Format (e.g. "{number} - {description}") produces the "Number - Name" form. |
- | Cost Center | The Cost Center associated with this Intacct Job will be set as the Cost Center for this ToolWatch Location. This means that if assets are transferred to this ToolWatch Location, they by default will be charged to the associated ToolWatch Cost Center (Intacct Job), unless the user specifies otherwise. |
Active | Inactive | If the Intacct Job is not Active, then the ToolWatch Location will be set as Inactive. |
A ToolWatch Cost Code will be created for every Job Cost Code in Intacct. The following fields will be mapped:
Intacct Job Cost Code | ToolWatch Cost Code | Notes |
Cost Code ID | Cost Code Number |
|
Cost CodeID - NAME | Description |
|
JobID | Cost Center Id | The ToolWatch Cost Code will be assigned to the Intacct parent Job. |
Task Status | Inactive | The Cost Code's Inactive state is inherited from its parent Job's Cost Center (a Project Task's own status does not independently set it). |
A ToolWatch Cost Code will be created for every Standard Task in Intacct. The following fields will be mapped:
Intacct Standard Cost Code | ToolWatch Cost Code | Notes |
Cost Code ID | Cost Code Number |
|
STANDARD Cost Code ID - NAME | Description |
|
Task Status | Inactive | The ToolWatch Cost Code is set to Inactive when the Intacct Standard Task status is not "active". |
