The ToolWatch Spectrum integration is focused on ensuring that the two systems share key list data such that when Job Cost and Billing charges are accrued in ToolWatch, they can be imported back into Spectrum using the standard import and export features of the two systems.
This integration approach assumes that Spectrum will be used for accounting and project management, and that ToolWatch is used for inventory.
Spectrum | Sync Direction | ToolWatch |
PR Employees | → | Employees |
JC Jobs | → | Cost Centers |
JC Jobs | → | Locations |
JC Phase Codes | → | Cost Codes |
EC Equipment | → | Unique Tools |
A ToolWatch Employee will be created for every PR Employee in Spectrum. The following fields will be mapped:
Spectrum PR Employee | ToolWatch Employee | Notes |
Employee Code | Number |
|
First Name | First Name |
|
Last Name | Last Name |
|
First Name, Last Name | Description | The Spectrum First Name and Last Name will be combined to match the ToolWatch Description format of "LastName, FirstName". |
By default, employee email addresses are not synced into ToolWatch. However, the integration can be configured to sync Spectrum Employee emails into ToolWatch employee emails. When this setting is turned on, Spectrum Employee email addresses will sync into ToolWatch, unless the corresponding ToolWatch employee has been set up as a user, or given access to Desktop, Mobile Field, or Mobile Warehouse. | ||
Street Address | Address 1 |
|
Street Address 2 | Address 2 |
|
Address | City | The Spectrum PR_EMPLOYEE_MASTER_1_MC "Address" column is mapped to the ToolWatch City field (this is separate from Street Address / Street Address 2). |
State | State |
|
Zip | Zip |
|
Phone | Phone |
|
Employment Status | Inactive | By default, if the Spectrum Employment Status is not "A", then the ToolWatch Employee will be set to Inactive. However, the integration can be configured to specify which Employment Status values represent an active Employee. |
udTWStockLocationNumber | Assigned Stock Location | By default, the integration will set the Assigned Stock Location for an Employee to be the Root Stock Location specified when configuring the integration. <br> <br> Upon request, the integration can be configured to allow the ERP system to specify the Assigned Stock Location for each employee. <br> <br> When the integration is configured in this way, udTWStockLocationNumber must be set up as a Spectrum User Defined Field (Entry Type EMP) with that exact prompt name — not added as a column on PR_EMPLOYEE_MASTER_1_MC. (If the integration is instead reading from a custom SQL view, the view must expose a column of that name.) <br> <br> The integration will read this field and if the value corresponds to a single Stock Location Number in ToolWatch, then that associated Stock Location will be set as the Assigned Stock Location for the Employee. Otherwise, the Root Stock Location will be used. |
A ToolWatch Cost Center will be created for every JC Job in Spectrum. The following fields will be mapped:
Spectrum JC Job | ToolWatch Cost Center | Notes |
Job Number | Number |
|
Job Description | Description | By default the ToolWatch Description is the Spectrum Job Description. The integration can optionally be configured with a Description Format template (using {number}, {description}, and {division} tokens); for example "{number}-{description}" would produce "1234-ATL Job" for Job 1234 with Description "ATL Job". |
Comment | Notes |
|
Status Code | Inactive | By default, if the Spectrum Job Status Code is not "A", then the ToolWatch Cost Center will be set to Inactive. However, the integration can be configured to specify which Status Codes represent an active Cost Center. |
udTWToolsNumber, udTWMaterialsNumber | Tool & Equipment Rate Sheet, Materials & Consumables Rate Sheet | Upon request, the integration can be configured to allow the ERP system to specify the Rate Sheet for each Cost Center. <br> <br> When configured this way, udTWToolsNumber / udTWMaterialsNumber must be set up as Spectrum User Defined Fields (Entry Type JOB) with those exact prompt names — not added as columns on JC_JOB_MASTER_MC. (When reading from a custom SQL view, the view must expose columns of those names.) <br> <br> The integration will read the field and if the value corresponds to a single Tools or Materials Rate Sheet in ToolWatch, then that associated Rate Sheet will be set as the Rate Sheet for the Cost Center. |
By default, a ToolWatch Location will be created for every JC Job in Spectrum. This is not strictly necessary in order to properly accrue Job Costs and Billing charges in ToolWatch, and have those flow back into Spectrum, but it is generally convenient in ToolWatch to be able to assign the assets to the Job when you are going to begin charging the Job for the assets. The Location and Cost Center will be linked in ToolWatch so that by default all assets assigned to the Location are charged to the corresponding Spectrum Job.
The following fields will be mapped:
Spectrum JC Job | ToolWatch Location | Notes |
Job Number | Number, Barcode |
|
Job Description | Description | By default the ToolWatch Description is the Spectrum Job Description. As with Cost Centers, an optional Description Format template ({number}, {description}, {division}) can be configured; for example "{number}-{description}" produces "1234-ATL Job". |
Job Number | Barcode |
|
Address 1 | Address 1 |
|
Address 2 | Address 2 |
|
City | City |
|
State | State |
|
Zip Code | Zip |
|
- | Cost Center | The Cost Center associated with this Spectrum Job will be set as the Cost Center for this ToolWatch Location. This means that if assets are transferred to this ToolWatch Location, they by default will be charged to the associated ToolWatch Cost Center (Spectrum Job), unless the user specifies otherwise. |
Status Code | Inactive | By default, if the Spectrum Job Status Code is not "A", then the ToolWatch Location will be set to Inactive. However, the integration can be configured to specify which Status Codes represent an active Location. |
udTWStockLocationNumber | Assigned Stock Location | By default, the integration will set the Assigned Stock Location for a Job to be the Root Stock Location specified when configuring the integration. <br> <br> Upon request, the integration can be configured to allow the ERP system to specify the Assigned Stock Location for each Job. <br> <br> When the integration is configured in this way, udTWStockLocationNumber must be set up as a Spectrum User Defined Field with that exact prompt name (or exposed by the custom SQL view when reading from a view), rather than added as a column. There are two options for this feature: Integration Controls Stock Point Option Allows Spectrum to overwrite stockpoint data for jobs and employees. This option is set for locations. Must have one of the Location Read Stockpoint option set. Employees set to read stock location always overwrite the stock point from Spectrum. Use Spectrum Cost_Center as Stock Point Uses the Spectrum Cost_Center Fields for stock point assignments in ToolWatch. Must have one of the Read Stockpoint options set. This option is set for both employees and locations together. Must have one of the Read Stockpoint options set. <br> <br> The integration will read this field and if the value corresponds to a single Stock Location Number in ToolWatch, then that associated Stock Location will be set as the Assigned Stock Location for the Job. Otherwise, the Root Stock Location will be used. <br> <br> When the UseSpectrumCostCenterAsStockPoint is selected. The Spectrum Cost_Center field will be used as the location number to map to a ToolWatch stockpoint. |
By default, a ToolWatch Cost Code will be created for every JC Phase Code in Spectrum. Upon request, a filter can be applied to limit the Phase Codes that are synced. The following fields will be mapped:
Spectrum JC Phase Code | ToolWatch Cost Code | Notes |
ID | Cost Code ID | Behind the scenes, the Spectrum and the ToolWatch records are related by their underlying ID fields. These fields are not user-facing, which means that it’s not possible for a user to "break the integration" by making a change in the UI of either system. |
Company Code, Job Number, Phase Code, Cost Type | Number | The ToolWatch Number will be formed by joining the related Spectrum Fields, after trimming whitespace. For example, for Company 1, Job A, Phase Code B, and Cost Type C, the Number would be 1.A.B.C. |
Description | Description | By default the ToolWatch Description is the Spectrum Phase Code Description; an optional Cost Code Description Format ({number}, {description}, {costType}) can be configured on request. |
Record Status | Inactive | By default, if the Spectrum Record Status is not "A", then the ToolWatch Cost Code will be set to Inactive. |
A uniquely-tracked tool will be created in ToolWatch for every piece of EC Equipment in Spectrum.
When the EC Equipment item is first synced down from Spectrum, an attempt will be made to find a matching Model record in ToolWatch. If one is found, then that Model is used. Otherwise, if one is not found, then a new Model will be created, along with any necessary Manufacturers, Descriptions, and Categories.
The following fields will be mapped:
Equipment
Spectrum EC Equipment | ToolWatch Unique Tool | Notes |
Equipment Code | Number, Barcode |
|
License Number | License Number |
|
Serial Number | Serial Number |
|
Status Type | - | A ToolWatch item will only be created if the Status Type of the EC Equipment is "A". |
Each synced tool is assigned to a ToolWatch Location named for the Spectrum Equipment's Location field, creating that Location if it does not already exist; if the Equipment has no Location, the tool is assigned to the integration's root Stock Location. This Equipment Location is separate from the Job → Location sync described above.
