Service Plan Event Detail – Tab-by-Tab Guide

The Service Plan Event Detail window is where users manage every aspect of a service plan—from setting the schedule to tracking parts and charges. This ensures tools are serviced consistently, documentation is centralized, and everything is accounted for from labor to materials.

The window is organized into six tabs:

  • Work Order Details

  • Tasks

  • Instructions

  • Required Tools

  • Parts

  • Charges

Each tab is designed to help streamline preventative maintenance and service workflows.


Work Order Details Tab

Use this tab to define the key setup for your service event.

  • Requested Service – Select a pre-defined service type (e.g., Truck Regular Maintenance). These values are managed under Administration > Company Lists > Descriptions.

  • Request Notes – Add custom notes or context for technicians.

  • PO Number – Add a Purchase Order number if applicable.

  • Recurrence – Set up how often this service repeats (e.g., every 3 months).

  • Assigned To – Assign the task to an employee.

  • Urgency – Choose the priority (High, Normal, or Low).

Use Manage Attachments to upload related files (manuals, specs, etc.).


Tasks Tab

This tab lets you define what actions need to happen during the service.

You can add three task types:

  • Service – Specific work to be done (e.g., Oil change)

  • Inspection – Visual or functional checks (e.g., Check tire tread)

  • Calibration – Define tolerances for tool performance (e.g., Engine timing)

Track:

  • Task Name

  • Task Type

  • Description

  • Estimated Hours

  • Edit or delete tasks anytime


Instructions Tab

Add detailed instructions for the technician performing the service.

  • This section is ideal for SOPs, procedural steps, or checklist guidance.

  • Use Manage Attachments to include documents like calibration spec sheets or parts diagrams.

  • This content can be updated any time during the Service Plan setup process.


Required Tools Tab

Specify tools from your inventory that are needed to complete the tasks.

  • Add from inventory using the Add Tool button

  • Include details such as:

    • Model No.

    • Qty

    • Description

    • Manufacturer

    • Model

  • Helps technicians come prepared and avoids delays due to missing tools


Parts Tab

Use this tab to track consumables or replacement parts.

  • Add parts manually or pull from the associated model record.

  • Track:

    • Estimated Qty

    • Actual Qty

    • Part No.

    • Description

    • Model

Use the Used checkbox to indicate which parts were consumed.

Note:

By default, parts listed under the Tool Model Record will appear if “Just repair parts for this asset” is selected.

To see a full list, switch to “All.”

Ensure pricing is reflected by checking the Item Base Value ea. field under the Cost Info tab of the part’s Material Model Record.


Charges Tab

Track all labor and material costs associated with this service event.

  • Add line items using the Add button.

  • Input:

    • M Type (Parts) or L Type (Labor)

    • Charge Description

    • Quantity (e.g., hours)

    • Cost per unit

    • Unit type (e.g., Hour, Each)

  • Include charge codes:

    • Cost Center

    • Cost Code

    • Service Class

This ensures accurate internal cost tracking and enables reporting across service history.
