How to Complete a Work Order

Work Orders in ToolWatch are used to manage, track, and document service work performed on tools and equipment. This article shows you how to complete a Work Order from start to finish, including how to record service tasks, update parts and charges, and finalize the Work Order.

Use this process if you're a field technician or service manager responsible for closing out service work in the system.


Step to complete a Work Order

  1. From the Navigator panel, go to Service and Calibration.

  2. Click Work Orders to open the Browse Work Orders window.

  3. Select the status you want to search by: Open, Closed, or All.

  4. Click Search to display matching Work Orders.

  5. Select the Work Order you want to open.

  6. From the Actions dropdown, click View to open the Work Order.

  7. Click the Tasks tab to view all service, inspection, or calibration tasks.

  8. Select the task you want to complete by clicking the row.

  9. Click Perform Task to open the task window.

  10. Fill in:

    1. Performed By

    2. Actual Hours

      1. Note: Time must be entered as a decimal (e.g., 1.5 = 1 hour 30 minutes).

    3. Optional: Notes, Cost Center, Cost Code

  11. Click Save Task Complete.

  12. For Inspection Task enter:

    1. Pass/Fail status

    2. Performed By

    3. Actual Hours

    4. Optional: Notes

  13. Click Save Task Complete.

  14. For Calibration Task Enter:

    1. Standard (if applicable)

    2. As Found and As Left values

    3. System auto-generates Pass/Fail

  15. Click Save Task Complete.

  16. Click the History tab within the Tasks section to confirm that tasks have been completed.

  17. Click the Parts tab.

  18. Select the checkbox next to each part used.

  19. Update the Actual Quantity.

  20. Click the Charges tab.

  21. Highlight a charge line.

  22. Click Edit, then follow the applicable sub-step below based on the charge type:

    1. Labor (L) Charge:

      1. Update the Qty (actual hours worked).

      2. Update the Cost (labor rate per hour).

    2. Parts (M) Charge:

      1. Update the quantity used.

      2. Update the cost per part.

    3. Other (O) Charge:

      1. Update the Qty and Cost values as needed.

    4. To add a new charge, click Add, complete the form with Qty, Cost, and any Cost Center or Code, then click Save.

  23. Click the Assignments tab.

  24. Click Reassign This Item…

    1. Fill in the To field on the Transfer Ticket and submit.

  25. Select the Work Order Details tab, scroll down to Completion Details and enter the following:

    1. Completion Date

    2. (Optional) Completed By

    3. (Optional) Notes

  26. Click Save.

  27. Click Yes to close the work order.

    1. Click No if you are not completely finished with the Work Order

    2. Click Yes if you are all done with the Work Order

    3. Closing the Work Order will populate the Completion Date of the Work Order with the date.

  28. Click Yes in the warning window (read warning about reports)

  29. When the Update Tool Record window appears, update the Meter and Status fields as needed, or click Skip Update.


Verify Completion in Tool Record

The Service History tab in the Tool Record will be updated with the completed Work Order.
