Creating and Viewing Custom Reports in ToolWatch

Build custom reports to track your data and learn how to use Excel for advanced filtering not available directly in the ToolWatch screens.

With an Enterprise license, ToolWatch Cloud users can create Custom Reports to meet their unique data and reporting needs. These reports offer flexible options for selecting, filtering, and formatting data.

Types of Custom Reports that can be created include:

  • Lists: Employees, Locations, and Cost Centers .

  • Tools & Equipment: Tool Browser and Retired Tools .

Note on Vendor Information: ToolWatch does not currently support Preferred Vendor or Vendor Code fields in the Tool Browser custom report template. If you need a report showing which vendor is assigned to an item or code, please contact your Customer Success Manager (CSM) to evaluate reporting options using other modules such as Purchasing & Receiving.

Creating a Custom Report

To begin building a report, use the following steps to open the report builder:

  1. Select Reports & Graphs in the left panel dropdown.

  2. Click Custom Reports.

  3. Select New Report in the top left corner of the window.

    • Note: To edit an existing report, select a report and click the Edit Report link.


To Create a Custom Report for Employees, Locations, or Cost Centers

Follow these steps as indicated in the platform screens:

  1. Select Lists from the Type dropdown menu.

  2. Choose one of the three category subtypes (Employees, Locations, or Cost Centers) from the Subtype dropdown menu.

  3. Click Create Report.

  4. Uncheck any default column to remove it from the custom report.

  5. Click Refresh Preview after unchecking each default column.

  6. Select the custom field name that you want added on the report from the Add Column dropdown menu.

  7. Click Refresh Preview after adding custom columns; these will be added to the right of existing columns on the report.

  8. Click Save to save the report and enter a name, description, and folder or mark it as private .

  9. Name the report

  10. (Optional) add a description of the report purpose.

  11. (Optional) add a report to a folder.

  12. (Optional) Check Private Report if you are not sharing the report on your network.

  13. Click OK.


To Create a Custom Report for Tool Browser or Retired Tools

Follow these steps as indicated in the platform screens:

  1. Select Tools & Equipment from the Type dropdown menu.

  2. Select Tool Browser or Retired Tools from the Subtype dropdown menu.

  3. Click Create Report.

  4. Uncheck any default column to remove it from the custom report.

  5. Click Refresh Preview after unchecking each default column.

  6. Select the custom field name that you want added on the report from the Add Column dropdown menu.

  7. Click Refresh Preview after adding custom columns; these will be added to the right of existing columns on the report.

  8. Click Save to save the report and enter a name, description, and folder or mark it as private .

  9. Name the report

  10. (Optional) add a description of the report purpose.

  11. (Optional) add a report to a folder.

  12. (Optional) Check Private Report if you are not sharing the report on your network.

  13. Click OK.

Important Save Note: If you select Run to run the report before it was saved, the report configuration will not be saved. To save a report that was run, you must click Edit and then click Save .


Viewing a Custom Report

To open a report you have previously created:

  1. Select Reports & Graphs in the left panel dropdown.

  2. Click Custom Reports.

  3. Select a report from your list.

  4. Click Run Report.


Pro Tip: Numeric Filtering

Custom Reports allow you to select and filter data by specific fields like Category or Status. However, numeric filters for specific dollar values (for example, finding all items with a purchase price of $5,000 or more) are not currently supported directly in the ToolWatch screens. To isolate items by a specific price point, we suggest using the Export Report option to download the data and then filter the Purchase Cost column in a spreadsheet application like Excel.
