Create a Custom Report for Tool Usage

To build a Custom Dashboard in ToolWatch, you must first create a Custom Report. This guide walks you through creating two different reports:

  • A Tool Usage report that shows where tools are located—either assigned to a jobsite or sitting in a warehouse.

  • Category-Specific Usage Report that shows how many backhoes are idle in the warehouse.


Step 1: Open Custom Reports

  1. From the Navigator Panel, go to Reports & Graphs.

  2. Select Custom Reports.

  3. Click New Report.

  4. For Type, select Tools & Equipment.

  5. For Subtype, select Tool Browser.

  6. Click Create Report.


Step 2: Add Required Columns

Include the following columns in the left panel:

  • Quantity (this is added by default)

  • Assignment Type

These fields show how many tools you have and whether they’re assigned to a stock location (warehouse) or a non-stock location (field/jobsite).

  1. Click the Columns tab.

  2. Select the Add Add Column dropdown.

  3. Select Assignment Type.


Step 3: Add Filters to Focus the Data

Add Filter 1: This filter will exclude Quantity Tools.

  1. Click the Filters tab.

  2. Select the Add Filter dropdown.

  3. Select Item Type.

  4. Operator: Select equals.

  5. Value: enter T.

  6. Click OK.

Add Filter 2: This filter will return items from the designated stock location.

  1. Select the Add Filter dropdown.

  2. Select Owner.

  3. Operator: Select equals.

  4. Value: Enter Main Warehouse.

    1. This will focus the date to this stock location.

  5. Click OK.


Step 4: Save the Report

  1. Click Save.

  2. Enter a clear name (e.g. Tool Usage Report).

  3. Enter a Description (e.g. Main Warehouse)

  4. Folder (Optional): Folders are created within the Dashboard section.

  5. (Optional) Mark as a Private Report.

  6. Click OK.

Optional: Create a Category-Specific Usage Report

To view usage for a specific category like Backhoes:

  1. Repeat the steps above.

  2. Add the following filters:

    • Category = Backhoes

    • Assignment Type = Stock Location

Note: Remove filter Owner equals Main Warehouse.

This shows how many backhoes are idle in the warehouse.


Once your custom report(s) are saved, you're ready to create a dashboard using the data.
