How to create a Utilization Custom Dashboard

Learn how to create a custom dashboard in ToolWatch to monitor tool utilization using reports, charts, and key metrics.

Build a Tool Utilization Report

To start, create a custom report that shows how tools are being used.

  1. Navigate to Reports and Graphs → Custom Reports → New Report.

  2. Select:

    • Type: Tools & Equipment

    • Subtype: Tool Browser

  3. Add the following columns:

    • Quantity

    • Assignment Type (shows if the tool is at a jobsite or stored in the warehouse).

  4. Add filters to clean up the data:

    • Item Type: Not Equal to Q (removes quantity tools).

    • Status: Not Equal to New (removes tools not yet deployed).

  5. Save the report with a clear, unique name.


Create a Dashboard

  1. Open Custom Dashboards.

  2. Click New Dashboard.

  3. Select a panel and click the wrench icon to add a dashboard element.


Add a Dashboard Element

  1. Enter a name for the element (example: Total Utilization).

  2. Select the report created in the previous step.

  3. Choose a chart type:

    • Pie Chart – best for proportions.

    • Bar/Column Chart – best for comparisons.

    • Line Chart – best for trends.

    • Metric Chart – best for single KPIs.

    • Table – best for detailed values.

  4. For this example:

    • Label = Assignment Type

    • Series = Quantity

  5. Click Save Changes.


Save the Dashboard

  1. Click Save in the top-right corner.

  2. Name the dashboard.


Edit the Dashboard

  1. Open the dashboard you created.

  2. Click Edit.

  3. Add new dashboard elements by selecting the wrench icon.


Create a Category-Specific Report (Example: Backhoes)

  1. Navigate to Reports and Graphs → Custom Reports → New Report.

  2. Select:

    • Type: Tools & Equipment

    • Subtype: Tool Browser

  3. Add the following columns:

    • Quantity

    • Category

    • Assignment Type

  4. Add filters:

    • Category = Backhoes

    • Assignment Type = Stock Location

    • Status ≠ New

  5. Save the report with a descriptive name.

Add a Category-Specific Dashboard Element

  1. Open the dashboard and click Edit.

  2. Add a new element with the wrench icon.

  3. Name the element (example: Unused Backhoes – Excludes “New” Status).

  4. Select the Backhoes report created earlier.

  5. Choose Metric Chart as the display type.

  6. Select Quantity as the measure.

  7. Adjust display units if needed (Full Number, Thousands, etc.).

  8. Set performance ranges and colors:

    • Low Range Break = 2 backhoes or fewer (green/positive).

    • High Range Break = 4 backhoes (adjust colors for middle and high).

  9. Save changes.


Review and Finalize

  1. Review the completed dashboard with multiple elements.

  2. Add, edit, or remove dashboard elements as needed.

  3. Share the dashboard with your team for visibility.


Result: You now have a customized Utilization Dashboard that gives clear, visual insights into tool usage and availability.
