Creating Quantity Tools Not Found in the ToolWatch Catalog

Learn how to manually create and track bulk quantity tools in ToolWatch when an item is not found in the ToolWatch catalog.

Overview

A Quantity Tool refers to high-volume inventory items distributed in bulk where tracking individual asset history, serial numbers, certifications, service, or calibration is not required (e.g., screwdrivers, tape measures, or extension cords). Instead of assigning unique identification to each physical item, tracking is managed at the bin or model level using a tool number or barcode.

Why Create a Tool Manually?

While the ToolWatch catalog provides a global list of pre-configured models that you can start tracking immediately, you may need to manually create a tool model if your item is unique, custom, or simply not available in the master catalog. Manually defining the model ensures your inventory records, stock locations, and job cost allocations remain accurate.


How to Manually Create a Quantity Tool

  1. Expand the Inventory section.

  2. Click on Catalog.

  3. Click + Add Model.

    1. A window will appear prompting you to enter details for the new model.

  4. Item Type: Select Tool.

  5. Tracking Method: Select Quantity.

  6. Manufacturer: Select from the list or add a new one.

  7. Category: Choose or create a category.

  8. Model: Enter the model number.

  9. Description: Provide a brief description of the item.

  10. (Optional) Click the pencil icon next to Item Number or Barcode to edit the auto-assigned values.

  11. Click Add Item.

  12. Click + Add Stock located at the top of the Model Record page.

    1. Within the Model Record Window you can:

      1. Upload an image (JPEG, PNG, GIF).

      2. Add cost information by expanding the Cost panel (make sure to save changes).

  13. Select the Stock Location for this item.

  14. Click Add Stock.

  15. Expand the Stock List panel.

  16. Select the 0 link.

  17. Enter the total number of items you are adding to stock for this quantity tool in the Adjusted Quantity field.

  18. Click Save.
