Manage Retired Tools Browser Overview

Over time, tools may be lost, stolen, misplaced, or become unusable. Rather than deleting these items from your inventory, ToolWatch allows you to retire them. Retired tools are removed from active use and your total asset count, but they remain accessible for reporting and reinstatement if found or repaired.

Why Use Retire Instead of Delete?

Preserves historical data about the tool
Keeps audit records and retirement reasons
Allows reinstatement if the tool is recovered or repaired

Accessing and Browsing the Manage Retired Tools Browser

From the left-hand Navigator Panel, expand the Inventory section.
Click Manage Retired Tools to open the browser.
Use the filters at the top of the screen to search for specific tools, or browse by retirement criteria.
Use the View Options radio buttons in the top right to choose between:
1. Retired Only – Show only tools that are currently retired
2. All – Show all tools, including any that were reinstated
Click Search to display results or use specific filters to narrow your search.
1. Available Search Filters:
  1. Item No.
  2. Date Retired (Start / End Date)
  3. Category
  4. Supervisor
  5. Retired At (Location)
  6. Reason
  7. Status
Click Clear to reset all search fields and filters.

Actions Available (Top Toolbar)

Once you locate a retired tool, use the top toolbar to:

Reinstate Item — Return the tool to active inventory
View Detail — Open the full item record
View Transaction History — Review the tool’s history
Change Retirement Date — Update the date it was retired
Delete — Move the record to the Recycle Bin (only when appropriate)

Can I Export Retired Tool Data?

There are no options to export data or create reports directly from the Manage Retired Tools browser.

To view or export information about retired tools, use the Custom Reports feature:

Go to Reports & Graphs > Custom Reports
Select Tools & Equipment as the report type
Choose the Retired Tools report
Customize and export the report as a .csv file

This is the recommended method for generating reports or exporting data about retired tools.

Can’t Find a Retired Tool?

If you can’t locate a tool using the filters or search options, it may have been deleted instead of retired.

To check:

Go to Recycle Bin in the left-hand Navigator Panel.
Use the Item No. or other identifying information to search for the deleted tool.
If found, you can restore it from the Recycle Bin.
