The Item Browser Overview

Manage tools and materials by searching, filtering, and exporting inventory data to improve project visibility and asset tracking.

Select the browser tab that matches your inventory type to begin managing tools or consumables.


The Item Browser in ToolWatch is a central hub for viewing and managing your company's inventory. It is divided into two specialized browsers to help you organize different types of assets:

  • Tools & Equipment: Used for managing equipment that is tracked either individually or by quantity.

  • Materials & Consumables: Used for quantity-based items that are typically consumed on-site and used up, such as drill bits, tape, oil, and paint.


Understanding Tracking Types

Items in the Tools & Equipment browser are identified by how they are tracked using the Type column:

  • Uniquely Tracked Items: Marked with a T in the Type column. These are items tracked individually, often having unique serial numbers or maintenance requirements.

  • Quantity Tracked Items: Marked with a Q in the Type column. These items are tracked by the total amount on hand rather than as individual units.

The Materials & Consumables browser does not have a Type column because all items in this section are automatically tracked by quantity.


How to Pull a Job Tool List

  1. Navigate to Inventory from the Navigator panel.

  2. Select Item Browser.

  3. Select either the Tools & Equipment tab or the Materials & Consumables tab.

  4. Use the search bar, filters, or sorting options to locate items assigned to a specific job.

  5. Check the boxes next to the tools or materials you want to include in your list.

  6. Click the Actions button or right-click an item to open the action menu.

  7. Select Export to download an Excel file of your selected items.


How to Find Tools Assigned to an Employee

  1. Navigate to Inventory from the Navigator panel.

  2. Select Item Browser.

  3. Select the Tools & Equipment tab.

  4. Select All Tools check box.

  5. Enter the employee's name in the Search bar.

    1. Confirm that the Assignment column is visible in your view to see who the tool is assigned to.

  6. Check the boxes next to the tools.

  7. Filter, sort, or export your results as needed by using the Actions button.


Use the Actions dropdown or right-click any item to view available management options for your selected inventory.

Available Actions

Management options change based on the browser you are using and whether you have selected unique items or quantity items.

Standard Management

  • Add Item: Add tools or materials to an existing model or create a new model.

  • View Detail & Edit Item: Open the full record for a specific tool or material.

  • Print / Export: Generate physical reports or Excel files for the selected items.

  • Add Attachment: Attach documents, files, or photos to the selected records.

  • Add to Kit / Edit Kit / Delete Kit: Manage grouped sets of items or remove existing kits.

Inventory Movement & Orders

  • Add to Transfer: Move selected items to a Transfer Ticket.

  • Add to Pick Ticket: Add items to a pick list for warehouse fulfillment.

  • Add to Count Ticket: Include items in a physical inventory count record.

  • Add to Purchase Request / Purchase Order: Initiate a restock for quantity-tracked tools or materials.

  • Change Return Date: Set or edit the expected return date for an item.

Maintenance & History (Tools only)

  • Create Service Request / Work Order: Start a maintenance request or work order directly from the tool record.

  • View History & Scans: Review recorded usage, transaction history, or wireless scan logs for specialized equipment.

  • Add Service Plan / Service Event: Assign recurring maintenance or specific service events.

Quantity & Record Control

  • Adjust Inventory (Quantity items only): Manually update the stock quantity for materials or quantity tools.

  • View Adjustment History (Quantity items only): Review a log of past manual quantity changes.

  • Remove Inventory Record (Quantity items only): Remove a material record from a location if the quantity is zero.

  • Change Status / Owner / Department: Update the current state, ownership, or department assignment .

  • Set Responsible Party (Unique Tools only): Assign an employee to a Uniquely Tracked (T) tool for accountability when at a non-stock location.

  • Retire Tool: Move a tool to the Manage Retired Tools section.
