Item Browser Columns

Learn to customize your Item Browser by adding or rearranging columns. Includes a full list of column definitions for better reporting.

Overview

The ToolWatch Item Browser is a flexible workspace where you can organize inventory data to quickly locate tools and materials. You can customize the columns displayed in your browser to focus on the specific data points that matter most to your team.

Customizing your view offers two key benefits:

  • Persistence: Your column settings are saved to your individual User Profile. Your preferred layout will remain active every time you log in to the ToolWatch web platform.

  • Reporting: The columns you select in the Visible Columns list are the exact fields included when you use the Export Data function.


Column Definitions

The Item Browser uses Default Columns (visible upon first use) and Available Columns (optional data points you can add).

Default Columns

  • Category – Groups similar items based on the Product Record.

  • Number – The specific Item Number assigned to the tool.

  • Bar Code – The alphanumeric barcode for the tool or bin.

  • Description – The item description from the Product Model record.

  • Type – Indicates the tracking method (Unique, Quantity, or Material).

  • Qty – The quantity at an assignment (always "1" for unique items).

  • Assignment – The Employee or Location where the item is currently assigned.

  • Status – The tool's current condition or availability status.

  • Tran. Date – The date of the transfer to the current assignment.

  • Tran. No – The specific Transfer Ticket number for the current assignment.

  • Age – The time elapsed since the item was last counted, scanned, or transferred.

  • Responsible Party – The employee responsible for a unique tool at a non-stock location.

  • Owner – The stock location that owns the asset for processing and reporting.

Available Columns

Tracking & Wireless Data

  • GPS Position – Displays the geographic coordinates from the most recent GPS scan.

  • Last Scanned – The date and time of the most recent wireless scan.

  • Last Wireless Scan Area – The user-defined gateway area where the item was last detected.

  • Last Wireless Scan Location – The ToolWatch location recorded during the last scan.

  • Wireless – A flag indicating if the item is equipped with a wireless tag.

  • Last Counted – The date the item was last updated on a Count Ticket.

Financial & Cost Data

  • Last Purchase Cost – The most recent price paid for the item at the receiving location.

  • Replacement Cost – The current estimated cost to replace the item.

  • UofM – The Unit of Measure (e.g., each, feet) used to track the item.

  • Allocated – The quantity of the item currently committed to open tickets or transfers.

Additional Asset Details

  • Serial No. – The manufacturer's unique serial number.

  • Model – The manufacturer's model number from the Model Record.

  • Model Year – The year the item was manufactured.

  • Manufacturer – The item’s manufacturer as defined in the Product Record.

  • Meter – The current meter or odometer reading for the tool.

  • Bin – An optional field for internal organization; this does not represent a warehouse stockroom location.

  • Kit – Displays a kit icon/image if the item belongs to a kit.

  • Kit No. – Identifies the specific kit containing the item.

  • Notes – Any additional comments or notes attached to the item record.

  • PI – Indicates if the tool is a "Personal Issue" item.

  • Return Date – The expected return date set on a transfer or tool record.

  • Vin – The Vehicle Identification Number for fleet assets.

  • License Plate Number – The license plate assigned to the vehicle or trailer.

  • License Plate State – The state of registration for the license plate.

Ownership & System Data

  • Manager – Displays the Stock Location or parent Stock Location of the current assignment.

  • Supervisor – The name of the supervisor for the current assignment.

  • Department – A categorization field used for organizational reporting.

  • Delivered By – The person delivering the tool as set on the Transfer Ticket.

  • Created By – The user who originally created the item record.

  • Created On – The date and time the item record was created.

  • Item Class – A classification field used to group items for reporting or billing.


How to Customize Item Browser Columns

  1. Expand Inventory.

  2. Select Item Browser.

  3. Select the Settings (gear icon) in the bottom-right corner of the browser window.

  4. Select Select Columns to Display.

  5. Select the column(s) you want to add from the Available Columns list.

  6. Select the right arrow to move them to the Visible Columns list.

    • Note: Select a column from the Visible Columns list and select the left arrow to remove it from the Item Browser.

  7. Select the up or down arrows to arrange where you want the columns to display.

  8. Click Save Changes.
