Overview

Accurate numbering and labeling ensures every tool and piece of equipment in ToolWatch can be tracked, located, and managed efficiently. There are three primary identification methods:

Permanent Tool Numbers (Required)

  • Required field in ToolWatch.

  • Human-readable and permanently linked to each item.

  • Engraved, stamped, or painted directly on tools.

  • Used to track purchase, warranty, service history, and usage records.

Barcode Labels (Optional)

  • Optional, but strongly recommended for speed and accuracy.

  • Machine-readable, inexpensive, and replaceable if damaged.

  • Provide much faster data entry compared to manual number entry.

RFID Tags (Optional)

  • Optional and primarily beneficial for high-volume inventory scanning.

  • Machine-readable with the ability to scan multiple items instantly.

  • More durable than barcodes but more costly.

  • Best used for inventory efficiency, but not always ideal for scanning individual items in close proximity.


Recommended Numbering System

Tool numbers are permanent identifiers that remain linked to the tool for its entire lifecycle—even if the tool is lost or retired.

Best Practices

  • ✅ Start numbering at 1000 (instead of 1) for consistency.

  • ✅ Use a 4–5 digit numeric system for simplicity and compatibility with scanners.

    • 4 digits = up to 9,000 tools

    • 5 digits = up to 99,999 tools

  • ✅ Extend to 6 digits if your organization exceeds 99,999 items.

What Not to Do

  • ❌ Don’t assign “meaning” to tool numbers (e.g., categories, tool types, or prefixes). ToolWatch already manages categorization and search.

  • Do not include company initials or other redundant prefixes in tool numbers.

    • Example: Instead of numbering tools as XYZ1001 for XYZ Electric Company, use 1001. ToolWatch already tracks tool ownership by warehouse, department, or business unit.

  • ❌ Avoid alphabetic characters in numbers. Scanners require extra keystrokes, slowing down data collection.


Handling Existing or Duplicate Numbers

  • You may use existing tool numbers if they are 15 alphanumeric characters or less.

  • Large organizations with multiple warehouses may have duplicate numbers from legacy systems.

  • To avoid confusion, enable Duplicate Protection in ToolWatch (prevents or warns when duplicates are entered).


Applying Numbers to Tools and Equipment

  • Engrave, stamp, or paint numbers on individual tools.

  • Avoid numbering small consumable items tracked by quantity.

  • Use white and black paint pens for high contrast and visibility.

  • Ensure numbers are large enough to read at a glance, saving time when scanners aren’t available.

  • Inspect periodically to confirm tool numbers remain readable.


Applying Barcode Labels

ToolWatch barcode labels are manufactured for durability, but correct application is critical.

Placement

  • Place labels on flat, smooth, protected surfaces.

  • Avoid rough plastic or metal castings where adhesion is weak.

  • Do not place labels across seams or gaps between surfaces.

  • Be consistent (e.g., always place ladder labels at eye level).

Preparation

  • Clean surfaces with a non-oil-based cleaner (e.g., lacquer thinner on metal).

  • Avoid applying labels over rust, grease, or loose paint.

  • Apply at room temperature (70°F+). Use a heat gun or hair dryer for better adhesion if needed.

Application

  • Handle labels with a knife or razor to avoid touching the adhesive.

  • Apply firmly and burnish with a fingernail to secure.

  • Allow 72 hours for adhesive to fully cure.
