Configuring User Roles for Purchase Request Permissions (Pro & Enterprise)

Administrator guide to granting specific users permission to view, edit, or approve purchase requests.

To ensure your procurement workflow is secure, administrators must assign specific permissions to each user role. This determines who can create requests, who can see others' requests, and who has the authority to approve spending.

  1. Select Administration from the Navigator panel.

  2. Select Configure User Roles.

  3. Select Edit next to the role you wish to modify (e.g., Inventory Manager).

  4. Select the Purchasing tab in the Edit Role window and ensure the Purchasing toggle switch at the top of the tab is turned ON.

  5. Locate the Purchase Requests section in the grid and independently check the following boxes in the Perform column to grant the necessary authority:

    • All Purchase Requests: To grant full administrative approval authority.

    • Purchase Request Approval Tier 1: To grant authority to approve requests up to the Tier 1 threshold.

    • Purchase Request Approval Tier 2: To grant authority to approve high-value requests at or above the Tier 2 threshold.

  6. Select Save.


Permission breakdown

  1. Add new column / field - Request by to the Purchase Request Browser

  2. Remove options for ‘Delete’ for Purchase Requests and All Purchase Requests

  3. Remove option for ‘Perform’ on Purchase Requests and All Purchase Requests

  4. Update Purchase Requests so that it respects permissions

Access / View - parent level

  • True

    • Gives you the initial ability to click on purchase request browser

    • You can only see Purchase Requests if logged in user = Request by

  • False

    • Purchase Request Menu option is greyed out

Access View - All Requests

  • True

    • Add ability to see other people’s requests (Display All ‘Request By’)

  • False

    • You can not see other people’s requests

Add / Edit - Parent level

  • True

    • Can add purchase requests - can only edit your own (user = Request By)

    • ‘+ Create Purchase Request’ link is enabled

  • False

    • ‘+ Create Purchase Request’ link is disabled

    • You can not edit purchase requests

Add / Edit - All Requests

  • You can edit other people’s requests
