The ToolWatch Procore integration is focused on ensuring that the two systems share key list data, and then based on that foundation of accurate and complete data sharing key updates between the two systems such that users can accomplish their work in whatever system they primarily interact with.
This integration approach assumes that Procore will be used for project management, and that ToolWatch is used for inventory, logistics, and general operations management.
Procore | Sync Direction | ToolWatch |
People | → | Employees |
Projects | → | Cost Centers |
Projects | → | Locations |
Equipment | → | Items |
Equipment Log | ← | Tools/Rates |
Projects | ← | Locations |
A ToolWatch Employee will be created for every Person in Procore that is marked as "Is Employee" in the Directory.
Procore Person | ToolWatch Employee | Notes |
Employee ID, ID | Number | If the Person has an Employee ID, then that is used as the ToolWatch Number. Otherwise, the Person's ID is used. |
First Name | First Name |
|
Last Name | Last Name |
|
First Name, Last Name | Description | The Procore First Name and Last Name will be combined to match the ToolWatch Description format of "LastName, FirstName". |
- | Stockpoint | The ToolWatch Employee will be created with its Stockpoint set as the root Stocklocation that the integration was configured to sync into. If the Employees Stockpoint is later changed within ToolWatch, that value will not be overwritten by the integration. |
Active | Inactive | If the Procore Employee is not Active, then the ToolWatch Employee will be set to Inactive. |
A ToolWatch Cost Center will be created for every Project in Procore. The following fields will be mapped:
Procore Project | ToolWatch Cost Center | Notes |
Number | Number |
|
Name, Number | Description | By default, if the Procore Project has a Name then that will be used; if the Name is blank, the Procore Project Number is used. A single shared Description Format template can optionally be configured (applied identically to both Cost Center and Location descriptions). |
Active | Inactive | If the Procore Project is not Active, then the ToolWatch Cost Center will be set as Inactive. |
By default, a ToolWatch Location will be created for every Project in Procore. This is not strictly necessary in order to properly accrue Job Costs and Billing charges in ToolWatch, but it is generally convenient in ToolWatch to be able to assign the assets to the Project when you are going to begin charging the Job for the assets. The Location and Cost Center will be linked in ToolWatch so that by default all assets assigned to the Location are charged to the corresponding Procore Project.
The following fields will be mapped:
Procore Project | ToolWatch Location | Notes |
Number | Number |
|
Name, Number | Description | By default, if the Procore Project has a Name then that will be used; if the Name is blank, the Procore Project Number is used. The same shared Description Format template (see Cost Centers) applies. |
- | Cost Center | When the Projects → Cost Centers sync is also enabled, the Cost Center associated with this Procore Project is set as the Cost Center for this ToolWatch Location. This means that if assets are transferred to this ToolWatch Location, they by default will be charged to the associated ToolWatch Cost Center (Procore Project), unless the user specifies otherwise. |
Active | Inactive | If the Procore Project is not Active, then the ToolWatch Location will be set as Inactive. |
When the "Sync Equipment to Items" setting is enabled, each piece of Procore Company Equipment is synced to a ToolWatch Item (a uniquely-tracked tool), creating any needed Models, Manufacturers, Categories, and Item Classes.
Procore Equipment | ToolWatch Item | Notes |
Identification Number | Number, Barcode |
|
Serial Number | Serial Number |
|
Make Name | Manufacturer |
|
Model Name | Model |
|
Category Name | Category |
|
Equipment Type Name | Item Class |
|
Name | Model Description |
|
Year | Model Year |
|
Status Name | Active | The Item is created active when the Procore Equipment status is "active" or "available". |
Procore Equipment Log will be created for each unique tool currently present at ToolWatch Location mapped to Procore Project. The following fields will be mapped:
ToolWatch Tool Rates | Procore Equipment Log | Notes |
Item | equipment_name | ItemNumber and Description (Procore Managed Equipment will be created with Display Name specified) |
Rate | notes | A string rendering of the rate, including the rate itself, description of the charge type (e.g. Maintenance rate, hourly rate, assignment charge, etc.). |
When the "Sync Items to Equipment" setting is enabled, the integration also creates a real Procore Equipment (equipment_register) record for the tool, resolving or creating the Procore Make, Model, and Category from the ToolWatch item's Manufacturer, Model, and Category. The Procore Equipment Type is always created as a fixed "Unique Tool" type, the Status reflects only Active/Inactive (based on whether the item is deleted), and Ownership is always set to "OWNED".
Optionally, a Procore Project will be created for every Location in ToolWatch. This is a one way sync, and other sync settings from Procore to ToolWatch will be ignored when this setting is enabled.
The following fields will be mapped:
Procore Project | ToolWatch Location | Notes |
Number | Number |
|
Name | Description | By default, the ToolWatch location description will be used for the Procore Project Name |
Active | Inactive | Only Active ToolWatch Locations will be used to create Procore Projects. |
