ToolWatch uses calendars to determine how many hours are eligible for billing each day. By default, all Cost Centers follow the Company Calendar, which defines standard workdays and hours. However, you can override this by editing a specific Cost Center’s Project Calendar.
What Is the Project Calendar?
The Project Calendar allows you to customize working hours and tool billing behavior for an individual Cost Center.
Key behavior:
Once saved, Project Calendar settings override the Company Calendar for that Cost Center.
Future changes to the Company Calendar will not apply to the Project Calendar.
You must manually update the Project Calendar if changes are needed.
Use this when a project has different working hours, holidays, or billing preferences from the company standard.
Set Tool Assignment and Return Billing Rules
You can set specific times to control whether tools are billed for the day based on when they are assigned or returned.
Billing Rule Options:
Tools returned before [time] are not billed for that day.
Tools assigned after [time] are not billed for that day.
This is useful for handling half-day billing, late returns, or early check-ins.
How to Set These Rules:
From the Navigator panel, expand the Administration section.
Expand the Settings section.
Select Cost Centers.
Click Create New or Edit next to an existing Cost Center.
Click the Project Calendar tab.
Check the box for either Tools returned before or Tools assigned after.
Enter the time (AM or PM) for each rule as needed.
Click View Project Calendar to update the calendar for this specific Cost Center.
Click Save.
Establish Default Project Hours for a Specific Cost Center
📝 Note: Holidays set in the Company Calendar will migrate automatically to the Project Calendar, but all other working hour changes must be updated manually here.
Follow these steps to define the working days and hours for an individual Cost Center:
From the Navigator panel, expand the Administration section.
Expand the Settings section.
Select Cost Centers.
Click Create New or Edit next to an existing Cost Center.
Click the Project Calendar tab.
Click View Project Calendar.
Click Manage Project Defaults.
Adjust the checkboxes and working hours for each day of the week.
Click Set to confirm the schedule.
Click Save to finalize the Project Calendar.
