How to Automatically Reassign GPS Assets with Geofences

Learn how to enable global geofencing and set up location boundaries to automatically reassign GPS assets in ToolWatch.

Geofencing allows ToolWatch to automatically reassign GPS-tracked assets when they move between defined geographic boundaries (geofences).

How Automatic Asset Reassignment Works

When a GPS-tracked asset enters the geofence of a different location, ToolWatch triggers a transfer and updates the asset's assignment automatically. For example, if an asset is assigned to Location A and someone moves it to Location B, ToolWatch reassigns it from A to B automatically once the asset's GPS coordinates fall within Location B's geofence.

For this feature to work, you must enable the setting globally in your admin settings and ensure individual locations are set up with a valid physical address and radius.


Enabling Global Geofencing

Before individual location boundaries can track asset movements, an administrator must activate the feature for the entire company.

  1. Click Administration in the left navigation menu.

  2. Click Company Settings.

  3. Check the box for Automatically Re-assign GPS Assets Based on Entering Geofence.

  4. Click Save Changes.


Setting Up a Location Geofence

The following screenshots illustrate the step-by-step fields and tabs required to set up a localized geofence boundary.

  1. Click Administration in the left navigation menu.

  2. Click Company Lists.

  3. Click Locations.

  4. Click Edit next to the specific Location where you want to enable a geofence.

  5. Complete the physical Address fields, including City, State, Country, and Postal Code, to allow ToolWatch to calculate the latitude and longitude coordinates automatically.

  6. Click the Map tab.

  7. Check the box labeled Enable Geofence.

  8. Enter a value for the Geofence Radius.

    1. Note: The minimum radius cannot be less than 50 Meters.

  9. Select your desired option from the Unit of Measure dropdown menu.

  10. Click Save.


Best Practices for Geofences

  • Define Everywhere: Define geofences at all relevant locations, including jobsites, warehouses, and storage yards.

  • Keep Radiuses Realistic: Keep radiuses realistic—boundaries that are too small may cause missed updates, while boundaries that are too large may trigger false reassignments.

  • Standardize Formats: Use consistent address formats to avoid GPS calculation errors.
