Material Model Record Overview

In ToolWatch, Material Model Records are the foundation for managing inventory. All items in ToolWatch are created from a model. The model record stores key product information, inventory details, cost tracking, and service data.

There are two types of Material Model Records:

  • Unique Material Model Record — for individually tracked items
    Quantity Material Model Record — for bulk tracked items

Both record types are managed in the Catalog.


What Is a Material Model?

Material Model Records can be created manually or through the Catalog.

Items are then created from that model.

Models organize inventory into two types:

How Do I Access a Model Record?

  1. Expand the Inventory section.

  2. Select Catalog.

  3. Select a catalog record or select a catalog category.


What’s Included in a Material Model Record?

Product Information

  • Manufacturer

  • Model Number

  • Catalog Number

  • Manufacturer’s Description & Features

  • Year of ManufactureImage Upload (shown on left side)

Use this section to capture all technical details about the item.

Tracking Information

  • Category (e.g., Drills, Screwdrivers)

  • Generic Description (e.g., 18V Cordless Compact Drill)

  • Tracking Method: Unique ID or Quantity

  • Item Type: Tools, Equipment, Materials

  • Certifications (optional)


Stock List Panel

Displays the number of items in stock or on order at each warehouse location.

Fields include:

  • In Stock

  • On Order

  • Low Quantity Threshold

  • Target Quantity Threshold

  • High Quantity Threshold

  • Bin Locations (there must be items in stock before designating a bin location)

Use this panel for inventory planning and restocking.


Cost Panel

Tracks cost-related information for the model, including:

  • MSRP

  • Replacement Cost

  • Item Base Value

  • Unit of Measurement

  • Purchase history per stock location:

    • Total Quantity Purchased

    • Average Purchase Cost

    • Last Purchase Cost

    • Preferred Vendor (optional)


Key Differences Between Model Types

Unique Material Model Record

(Typically used for tools, equipment, and assets tracked individually)

Additional Panel:

Item List Panel

Shows individual items created from the model, including:

  • Item ID

  • Barcode

  • Serial Number

  • Status

  • Assigned To

  • Owner

  • Manager - Displays the Stock Location or parent Stock Location of the assigned Job or Employee. To change it, transfer the item or update the assignment’s parent.


Service Panel

Manages ongoing maintenance and calibration:

  • Service Plans: Add, Edit, Delete

  • Repair Parts

  • Calibration Specs

Use the Actions dropdown to manage entries in each service section.

Note: The Service Panel is not typically used for Quantity Material Models.


Quantity Material Model Record

(Typically used for materials tracked in bulk — consumables, fasteners, or low-cost items)

Additional Panel:

Distributions Panel

Shows bulk distributions of the material across locations, including:

  • Bulk Distribution Location

  • Quantity

  • Item ID

  • Barcode

  • Assigned To

  • Owner

  • Manager - Displays the Stock Location or parent Stock Location of the assigned Job or Employee. To change it, transfer the item or update the assignment’s parent.


Why Model Records Matter

Creating a model first ensures that:

  • All items follow consistent tracking rules

  • Inventory is organized by type and usage

  • Service, cost, and ownership details are managed from a single source

  • Inventory tracking is accurate across stock and non-stock locations

This structure supports accurate inventory management, cost analysis, service history, and audit readiness.
