How Service Requests and Work Orders Work Together
ToolWatch provides two key service-related features to help manage tool and equipment maintenance: Service Requests and Work Orders. While they are closely related, they serve different purposes in the maintenance workflow.
📋 What is a Service Request?
A Service Request is created when immediate or unscheduled service is needed for a specific tool or piece of equipment. This type of request is typically reactive and includes a level of urgency.
Service Requests are commonly used when:
A tool is not functioning properly
Immediate attention is required outside of a regular maintenance schedule
The issue needs to be recorded for review by the Service Department
Unlike Service Plans, which are recurring and preventive, a Service Request is spontaneous and user-driven.
🛠️ What is a Work Order?
A Work Order is the formal record used by the Service Department to document and complete service work. It is created either:
From a Service Request, or
From a Service Plan (scheduled maintenance)
Work Orders include:
Detailed task lists
Special instructions
Required tools and parts
Assigned technicians
Charges associated with the service
🔁 How They Work Together
A Service Request initiates the process when unplanned maintenance is needed.
The Service Department reviews the request and converts it into a Work Order.
The Work Order is used to carry out and document all actions required to complete the service.
