Running the Consumable Usage Report

Run the Consumable Usage Report to view consumables with recorded usage for a selected date range.

Understanding What the Consumable Usage Report Shows

The Consumable Usage Report displays consumables that have recorded usage within the selected date range. Consumables with no usage do not appear in the results and must be identified by their absence.


Purpose of the Consumable Usage Report

The Consumable Usage Report outlines total consumable usage for a specific period. It displays:

  • Category information

  • Quantities issued

  • Cost details (current and extended)

Sort options include Delivered By and Issued To.


Report Filters

The Consumable Usage Report includes the following filters:

  • Category

  • Delivered By

  • End Date

  • Issued to

  • Start Date

The report screen also includes:

  • Print Data – runs the report

  • Export Data – exports the report results


Running the Consumable Usage Report

The report only shows usage for the stock location currently selected in the Org Tree.

  1. Select the appropriate Stock Location in the Org Tree.

  2. Go to Reports & Graphs.

  3. Select Reports.

  4. Select Consumable Reports.

  5. Select Consumable Usage Report.

  6. Set your filters (Category, Delivered By, Issued to, Start Date, End Date).

  7. Select Print Data to run the report.


Reviewing the Report Output

After selecting Print Data, the system generates the Consumable Usage Report for the selected date range. The report displays items with recorded usage only. Items with no usage do not appear in the report.

The report includes the following information:

  • The activity date range set in the report filters

  • The consumables included in the selected date range

  • The location of the consumables

  • Item Number

  • Item Description

  • Quantity used during the selected period

  • Replacement Cost (individual unit cost)

  • Purchase Cost (individual unit cost)

  • Extended Cost (Quantity × Replacement Cost)

  • Subtotal of all displayed items

  • Report Total showing the total quantity and cost


How to Identify Consumables That May Not Be in Use

If you are trying to determine which consumables are not being used, the Consumable Usage Report can help, but it does not directly list unused items. Instead, you can use the report to see which consumables were used, and then compare that list to your current inventory.

Follow these suggested steps:

  1. Run the Consumable Usage Report for the date range you want to review.

  2. Note the consumables that appear in the report—these items have recorded usage.

  3. Proceed to compare these items to your current inventory to identify which consumables were not used during that same timeframe.


Comparing Usage to Current Inventory

To find consumables that are in stock but were not used during the selected date range:

  1. Export your current inventory from the Item Browser or by running a Current Inventory Report.

  2. Compare the inventory list to the consumables shown in the Consumable Usage Report.

  3. Any consumables that appear in your inventory but do not appear in the usage report had no recorded usage.

  4. Confirm internally which unused consumables should be deleted or removed following your company procedures.

ToolWatch does not currently provide a report that performs this comparison automatically. Users must complete this comparison manually.
