Event Recurrence Window Explained

Understanding Event Recurrence & Work Orders

Event Recurrence in a Service Plan automates your equipment maintenance tracking and is initiated by clicking the Recurrence button in the Service Plan Event Detail window. When a service event triggers a work order, the system schedules the next chronological work order only after the previous one is marked completed. If your team misses multiple recurrence intervals, the system avoids generating a confusing backlog of simultaneous tasks; instead, it generates the next single work order per event to help your operations catch up. You can always audit these triggers in the Work Order Browser by selecting a specific work order and choosing Schedule Reason from the Action Menu.

When setting up a Date-based recurrence, the trigger for the next work order depends on how the schedule is configured:

  • IF the recurrence is set for a relative interval (a number of days, weeks, or months) and not a specific date, THEN the next work order is triggered by the completion date of the last work order. If there is no completion date set, it is triggered by the close date.

  • IF the recurrence is scheduled for a specific calendar month or day, THEN the next work order is triggered on that specific upcoming month or day.

By default, the system sets the work order due date to the exact same day it is created. As seen in the ToolWatch platform, this default behavior means your maintenance team has very little time to complete the task before it is flagged as overdue. To give your team adequate time to perform maintenance, the Event Recurrence window includes an optional configuration field that allows you to establish a future day-offset from the creation date.


Step-by-Step Instructions

  1. Open the Service Plan Event Detail window and click the Recurrence button to launch the Event Recurrence modal.

  2. Select one of the four radio buttons under Recurrence Type to establish your primary trigger: By Date, By Meter, By Turns, or Whichever Occurs First.

  3. Fill out the corresponding criteria for your selected trigger: For a Date-based trigger, select a Recurrence pattern (Daily, Weekly, Monthly, or Yearly) and enter the interval details. For a Meter-based trigger, enter your parameters into the Start At ... and Repeat every ... text fields. For an Assignment-based trigger, enter the target value into the Service after every ... assignments text field.

  4. (Optional) To ensure your team has sufficient time to complete the work order once it generates, navigate to the Work Order Due Date section and type your desired fallback window into the Set Work Order due date to [ ] days after created date text field to override the same-day system default.

  5. Click the OK button to save your operational configurations and apply the automated recurrence schedule to the service event.
